How to take part

Registration & participation

We offer diverse forms of participation in ‘Symbioza’. First and foremost, we invite you to present your own research in the form of a short talk or a poster presentation.

We also welcome participants (and in particular students) who wish to widen their scientific and professional horizons by attending the talks and network with like-minded people – to you we offer a general admission (no-presentation) participation.

Finally, if you are unable to join us in person, we provide online access to most of the conference scientific programme.

On-site active participation

Active participants take part in IBS Symbioza with an oral presentation (max. 10 min + 5 min discussion) or a poster concerning their research. Please note that:

  1. we only accept original research work;
  2. all the communications should be prepared in English;
  3. only one person is allowed to present a particular work

Each presenter is asked to prepare a short abstract of their presentation. Every year, the number of applications significantly exceeds the number of slots in the conference programme, therefore we make programming decisions based on the abstracts prepared by the applicants and evaluated by the scientific committee. The feedback on the abstract will be given ca. 2 weeks after the registration deadline.

The organisers award prizes for best poster and oral presentations in two categories: for Undergraduate/Master students, and for PhD students.

Presentation abstracts

The abstract should give the insight into your research work, let the participants follow your way of thinking and attract their attention. Your abstract should not exceed 2000 characters couunted with spaces (1250 characters if it includes graphics). In general, its format should follow the standard form of a scientific research abstract. It may have multiple authors, but only one presenting.

All the abstracts can be uploaded via the registration form and are further evaluated by the scientific committee, after which you’ll be notified if your presentation is accepted for the conference. All the abstracts will be then published in the Symposium’s Book of Abstract, available publicly for all participants.

The fee includes participation in all the scientific events of the Symposium, conference merch (T-shirt, cotton bag, notebook and pen), Saturday warm meal, Sunday lunch, coffee breaks catering, an electronic version of a participation certificate and the book of abstracts, and participation in all integration events. After the abstracts are evaluated, payment details will be emailed to accepted participants.

On-site general admission

If you do not wish to present your research, you can still register to the conference. This will allow you to attend all the lectures, presentations, poster sessions, workshops and discussioon panels, informal events, and meals on-site.

Fees for participants with no presentation

The Standard fee includes participation in all the scientific events of the Symposium, conference merch (T-shirt, cotton bag, notebook and pen), Saturday warm meal, Sunday lunch, coffee breaks catering, an electronic version of a participant certificate and the book of abstracts, and participation in all integration events. In response to participants’ requests, we now offer reduced price plans which exclude either the Saturday warm meal or the conference merch.

Online participation

This year, we offer again the possibility of online participation in “Symbioza”. As an online participant, you will have live access to all keynote lectures, short talks, and ddiscussion panels with a possibility of taking part in the discussion, however you will not be offered to present your own research. The transmission will be performed via the YouTube platform.

The conference fee for online participation includes access to live transmission from the scientific events of the Symposium including all keynote lectures, short talks, and discussion panels, an electronic version of the book of abstracts, and a certificate of online participation. Payment details will be passed to registered participants by email. Ukrainian students are entitled to no-cost participation in the online ‘Symbioza’.

Frequently Asked

How, when, and where, please

The conference takes place 16-18 May 2025 at the Faculty of Mathematics and Information Sciences, Warsaw University of Technology.

Should I send the pdf of my oral presentation/poster to the organizers before the Symposium?

No, there is no need to do that. An important thing to remember is that you have to upload your presentation to the computer in the hall before the beginning of your oral session. Alternatively, you can send the presentation to the conference email.

When will I receive the certificate of participation?
Certificates will be sent by email up to a few days after the conference.
Will the conference recording be available?
We do not plan to publish separate recordings of delivered presentations.
When should I display my poster?
Please check in the conference programme, which session has your poster been ascribed to. The posters should be hung on the day of the respective poster session on a stand prepared by the organised and label with poster number. Due to technical reasons, we ask you to take down the posters of Saturday session before the beginning of the social event.
Can I store my luggage somewhere at the conference site?
Yes, the registration desk will store the luggage for you. We ask you to label your belongings.
Who can participate in “Symbioza”?

We invite all early career researchers (including students of all stages) who are interested in biotechnology or related fields and would like to present their research results on a topic related to it to actively participate in the Symposium. Anyone who would like to expand their knowledge in the field of biotechnology and establish interesting contacts is welcome to attend the symposium as a passive participant. The conference is conoducted entirely in English, so participants from all over the world are welcome!

How many participants can give one presentation?

Presentations should be given by one person only. We encourage all co-authors to participate as passive participants and actively discuss the topic after the presentation, and during the coffee breaks.

I’m not able to be present during every day of a conference. Is it allowed?
Although everyday attendance at the conference is not mandatory, we encourage you to participate in as many conference events as possible. This is great opportunity for networking and to gain knowledge.
How will the presentations be evaluated?
As we plan to award best poster/short talk, every presentation will be evaluated by the members of organising/scientific committee. The referees will appear at your poster, and take part in the oral sessions. At the poster session, the committee will ask you for a short (less than 3 min.) presentation of your work. Moreover, there will be the award of the public for the best oral presentation and for the best poster, every participant can vote for 3 oral and 3 poster presentations.
I can’t register on Friday between noon and 3 pm, what should I do?
There is no need to worry, our registration point will be open throughout the conference. However, you might miss out on some interesting lectures if you arrive late.
What are the requirements for abstracts?

The abstract should not exceed 2000 characters counted with spaces (1250 characters if it includes graphics). In general, its format follows the most standard form of a scientific research abstract (with the exception that we do not accept review papers for our conference).

Where will lunch be provided?
We would like to invite for Saturday lunch you to the Central Canteen located on the campus, for details see the campus map On the other hand, the Sunday brunch will be served in the conference building at the coffee desk counter.
Will the posters be printed by the participants or the organisers?
Organisers do not offer poster printing. Participants should bring posters printed on their own.
Are there any specific formatting guidelines or requirements regarding font size, logos, or the structure of the presentation (e.g., required sections like Introduction, Results, and Conclusion)?
There are no specific formatting requirements. In general, it should be prepared in accordance to best scientific practices. Please note that the structure of presentation is also taken into account during evaluation for awards.
What are the requirements for poster dimensions and orientation?
We kindly ask you to prepare clear posters up to size A0 (84×119 cm) in vertical orientation. The organiser do not guarantee space for posters exceeding this size. The content of all presented posters should be in English.
Where will I find registration/poster space/industry stands/lecture rooms/toilets in the conference building?
All the important spots have been marked on the building plan.
The organisers suggest bringing multi-use cups. Will it be possible to clean my cup on site?
One of the bathrooms in the conference building has been equipped with bottle/cup cleaning tools available for participants’ use.
